Match the instructions to your Outlook app
Outlook scheduling differs across classic Windows Outlook, new Outlook, Mac, and mobile. The name Outlook does not guarantee the same scheduling menu or delivery behavior everywhere. Identify the app and mailbox you are using, then check that the relevant control appears before preparing a message you need to send later.
The basic process is consistent. Finish the email, choose a future send time, and verify that the message is queued. What changes is where you find the control, where the pending message lives, and whether the mail service or a running desktop app handles its release.
Schedule send in new Outlook and Outlook on the web
- Compose your email and add the recipients, subject, attachments, and body.
- Open the menu beside Send.
- Select Schedule send.
- Choose a suggested time or enter a custom date and time.
- Confirm the selection and check the pending message in Drafts.
For supported accounts, the mail service handles the scheduled release, so you can close the browser or app. To change a pending email, open it from Drafts and use the available editing or cancellation controls. After revising it, check that the intended schedule is still set or schedule it again.
Support can depend on the connected account. If the menu is missing, verify your account type and current app capabilities. A mailbox connected to new Outlook does not automatically inherit every feature available to a Microsoft hosted work account.
Use Delay Delivery in classic Outlook for Windows
- Open the email in its own compose window.
- Choose Options, then Delay Delivery.
- Enable Do not deliver before under Delivery options.
- Set the date and time, then close the properties window.
- Click Send and check the Outbox for the pending email.
Classic Outlook uses the Outbox rather than the scheduled Drafts workflow described above. Its release behavior depends on your mailbox and connection. Keep Outlook open and connected when relying on a locally queued delayed message. If you open and edit a queued item, click Send again to return it to the queue.
For the exact property controls and the separate outgoing rule option, read how Delay Delivery works in classic Outlook.
Schedule a message in Outlook for Mac
With a supported account in Outlook for Mac, look for scheduling in the menu beside Send. The label can appear as Schedule send or Send Later, depending on the interface. Availability depends on the account and version, and the feature is not supported for every connected mailbox.
- Compose the email and review its recipients and attachments.
- Open the arrow or menu beside Send and choose the scheduling option.
- Select the future date and time, then confirm.
- Check Drafts for the pending message and its scheduled status.
For supported service based scheduling, your Mac does not need to stay awake until delivery. If no scheduling control appears, do not substitute Windows Delay Delivery instructions. Open a supported web interface for the same account, if available, and check its scheduling options there.
Check scheduling availability in Outlook mobile
Do not assume Outlook for iPhone or Android has the same outgoing scheduling controls as desktop Outlook. Availability can vary with the app and account. Open a draft and inspect its send options. If your app offers Schedule send, choose the time, confirm it, and verify the pending message and its status.
If the control is absent, use a supported web or desktop Outlook interface for that mailbox. A mobile action labeled Schedule may instead postpone an incoming email so it returns to your attention later. That action does not queue a new outgoing message. Check what the control actually does before relying on it.
What native Outlook scheduling lacks for teams
Across these versions, native outgoing scheduling generally assigns one send time to an email in one channel. It does not distribute a message at each recipient's local time or provide configurable recipient quiet hours rules across a team communication plan. The scheduling control also does not require a teammate's approval. Separate organizational policies may exist, but they are distinct from this feature.
ScheduleSend is a subscription service for B2B teams scheduling email, SMS, and WhatsApp at each recipient's local time, with quiet hours rules and approvals. Open the ScheduleSend planner to plan messages across those channels and review pricing for subscription options. Confirm consent and local messaging requirements before sending.
